It’s World Backup Day! Every year March 31 serves as a reminder of something most of us tend to ignore until it’s too late. From treasured photos and videos to important work files and emails, our digital lives are more valuable than we realise. Yet, a single accidental delete, stolen device, or system crash can wipe it all out in seconds.

In this digital era, one could easily assume that we all are in the habit or sorting and backing up our precious images, videos and essential documents. Studies show that 21% of people have never made a backup; but no judgement – here’s a quick guide to safeguard your treasures.

Backing up your data isn’t just a “tech thing,” it’s a basic digital habit that protects your memories, your work, and in some cases, your livelihood.

A very real scenario 

You’re out for dinner and drinks in Cape Town. You snap a few picks of your sumptuous meal and of course a video of the ocean views. You get home only to realise the next morning that you left your phone in the Uber and it was on 6% so the battery is definitely dead by now.

No backup. No cloud sync. No second copy. 

That birthday, that trip, that moment you meant to keep? 
Gone with it. 

Why backups matter more than you think 

It’s easy to underestimate how vulnerable your data is. Think about everything stored on your phone or laptop – years of photos, videos, personal documents, work presentations, emails and conversations. Now imagine losing all of it permanently.

Data loss is more common than you think and can happen due to:

  • One small accident or failure could destroy all the important stuff you care about.
  • Phones or devices getting lost or stolen or damaged.
  • Malware or ransomware attacks,
  • Software corruption.

Without a backup, recovery is often impossible or extremely expensive. With a proper system in place, restoring your data can take minutes.

Smart ways to organise your digital files

Backing up doesn’t need to be technical. It just needs to be consistent. Here are smart ways to organise your digital files.

  1. Create a simple folder structure: “Photos & Videos > Year > Month > Event,” for example. Keep things intuitive and consistent and avoid dumping everything into one folder, future you will thank you.
  2. Use clear file names: Instead of “IMG1234.jpg”, rename files to something meaningful: “ClientProposal_March2026_v2.pdf.” This will also come in handy when searching for files years later.
  3. Declutter regularly: Delete duplicates, blurry photos, and outdated documents. This saves storage space and makes backups faster and more efficient.

How to safely store photos, videos, files and emails

1. Backup automatically on the cloud

Apps like Google Photos and Apple iCloud, Dropbox and Microsoft OneDrive automatically back up and sync your photos and files in the background. Cloud storage is great for documents, photos, and videos – and allows access from anywhere. 2. Don’t rely on one place for storage

One copy isn’t enough. 

A simple setup could include: 

  • Cloud storage, be sure to enable automatic backups. Automation removes the risk of forgetting.
  • External hard drives, these are ideal for large files like video and they are not dependent on the internet. Remember to store them safely, and keep a back up in a different location.
  • Keep file copies on your devices and secure your fils with strong passwords and two-factor authentication.

If one fails, you’re still covered. 

3. Backup your files before something goes wrong

Most people only think about it after losing something. Instead:

  • Set a monthly reminder to review and backup files
  • Test your backups occasionally to ensure they work
  • Automate as much as possible

It’s easy to assume your files, photos and videos will always be there, until they’re not. Taking a few minutes to back up your data is one of the simplest ways to protect what matters.
